Automation for businesses that don't use it yet

Your business runs on people. It shouldn't run on paperwork.

We're a two-person automation studio for companies that have never used AI. We find the repetitive work eating your week — quotes, intake, invoices, follow-ups, the same data typed in three places — and build something that does it for you.

What we automate

Four things we build, over and over.

Most clients start with one. It pays for itself before we start the next.

SVC / 01

Workflow automation

The repetitive work, done without anybody doing it. We connect the tools you already use so information stops being carried by hand.

  • Quote → job → invoice, start to finish
  • Forms and job sheets straight into your system
  • Recurring reports built and sent on schedule
  • Appointment booking, reminders, no-show follow-up
  • Contracts and documents filled in automatically
SVC / 02

AI customer support

Answers at 2am, written in your voice. It handles the questions you're tired of answering and hands you the ones that matter.

  • Website chat, email and WhatsApp replies
  • Trained on your prices, hours and policies
  • Qualifies the lead before it reaches you
  • Escalates to a human with the full conversation
  • After-hours calls captured, never lost
SVC / 03

Lead capture & CRM

Nothing falls through. Every enquiry gets logged, answered and followed up whether or not anyone remembers to do it.

  • Intake forms that route to the right person
  • Follow-up sequences that run themselves
  • A pipeline that updates without data entry
  • Duplicate and dead-record cleanup
  • One Monday email: where every deal stands
SVC / 04

Custom tools & training

Built for how your business actually works — and handed over to a team that knows how to use it.

  • Internal assistants that know your documents
  • Small tools for the job nothing off-the-shelf fits
  • Hands-on training with your staff, not a manual
  • Plain-English playbooks for every automation
  • 30 days of support after handover, included

How it works

Four steps. You can stop after any of them.

01

The audit

Half an hour on a call. You walk us through a normal week; we mark every place work is being done by hand. You leave with a written summary of what we found — whether or not you hire us.

Free · 30 min
02

The blueprint

A short document: what we'd automate, in what order, what each piece costs, and the hours it gives back. Fixed price, and it's yours to keep — take it to anyone you like.

Fixed price · 1 week
03

The build

We build inside the tools you already have — QuickBooks, Excel, WhatsApp, your booking system, whatever you run on. You see it working in stages, not at the end.

2–4 weeks, typically
04

Handover

We train the people who'll use it, in their own words, and leave documentation they can actually read. Then we watch it for 30 days and fix anything that wobbles.

The cost of doing it by hand

Manual work isn't free. It's just billed as salary.

Move the sliders to your business. This is what repetitive admin costs you in a year.

$28

A rough figure, not a quote. Automation rarely removes 100% of a task — we assume roughly 70% comes back, which is what we typically see. The audit gives you a real number for your business.

Spent on manual admin each year

1,248 hours · 156 working days

Realistically recoverable: $24,461 and 874 hours a year, put back into work that earns.

Who we are

A husband-and-wife studio, not a software vendor.

AAAI Solutions is Reyna Asfura and Yoandry Bracho. We started it after watching the same thing happen over and over: businesses that run beautifully on skill and reputation, held back by an afternoon of typing that nobody ever questioned.

Those businesses get sold enterprise software they'll never use, by people who've never worked a counter or answered a phone at seven in the morning. We do the opposite. We come and look at your week first, and we only build the parts that give hours back.

We're small on purpose. You talk to the two people building it, every time.

We work inside your tools. If your team knows QuickBooks and WhatsApp, that's what we build on. Nothing new to learn unless it's worth learning.
We don't replace your people. We take the work nobody wanted in the first place. Your staff stay — they just stop being data entry.
You own everything.Accounts, logins, documentation, the blueprint. If you ever stop working with us, it all keeps running.
Fixed prices, quoted first. No hourly billing, no surprise invoices, no retainer you can't leave.

Straight answers

The questions we get asked first.

We're not a tech company. Is this really for us?

That's exactly who we work with. Our clients are contractors, clinics, law offices, agencies, shops and family businesses — people who run on phone calls, spreadsheets and paper. If your business already works, we're not here to change it. We're here to take the typing out of it.

Will this replace my employees?

No, and we'll tell you if that's what you're hoping for. What we automate is the work your team complains about: retyping, chasing, copying between systems. Every client we've planned this with has kept their people and pointed them at customers instead of keyboards.

What does it cost?

The audit is free. The blueprint is a fixed price, quoted before we start, and it's yours whether you build with us or not. Every build is quoted upfront as a fixed price — no hourly billing and no surprise invoices. Ongoing support is optional and month to month.

Do we have to change the software we already use?

Almost never. We build around QuickBooks, Excel and Google Sheets, WhatsApp, Gmail and Outlook, your booking system, your point of sale. If we ever do recommend replacing something, we'll show you the arithmetic first.

What happens if it breaks?

Automations are monitored and they alert us, not you, when something fails. Handover includes 30 days of support. After that you can keep us on a small monthly plan or take it in-house — everything is documented and in accounts you own.

Is our data safe?

We work inside your own accounts with the least access needed to do the job, and that access is removed the day you ask. Your data isn't used to train anything, sold, or shared. Where a service processes customer information, we'll tell you which one and why before we use it.

How long before we see anything?

The audit is same-week. Most first automations are live in two to four weeks, and you'll see working pieces along the way rather than one reveal at the end.

Find out what your week is costing you.

Thirty minutes, no charge, no pitch deck. You describe a normal week, we mark where the hours go, and you get the written summary either way.
